SaaS Sprawl: The Hidden Security Risk Inside Creative Agencies

Learn how advertising and media agencies can control SaaS access, protect client assets, and prevent former employees or contractors from retaining access.

Creative teams adopt new tools quickly

Advertising and media agencies rely on project management platforms, design tools, file-sharing services, social media schedulers, analytics portals, stock libraries, AI applications, and client-specific systems. New tools are often added for a campaign and then forgotten.

This creates SaaS sprawl: a growing collection of applications, accounts, subscriptions, integrations, and stored client data that nobody fully owns or reviews.

Why unmanaged applications create risk

  • Former employees or freelancers may retain access to client assets.
  • Shared passwords may be stored in chat messages or spreadsheets.
  • Applications may contain confidential briefs, credentials, or unreleased creative work.
  • Third-party integrations may continue reading data after a project ends.
  • Personal accounts may own business files or social media connections.
  • Duplicate subscriptions increase cost and complicate offboarding.

Create a simple application inventory

The agency should maintain a list of approved applications, business owners, billing owners, administrators, data types, connected integrations, and clients affected. The inventory does not need to be complicated, but it must be kept current.

Standardize access and ownership

  1. Use company-managed accounts instead of personal accounts.
  2. Require MFA and prohibit password sharing.
  3. Store shared credentials in an approved password manager when individual accounts are unavailable.
  4. Assign at least two trusted administrators for critical platforms.
  5. Use groups and roles rather than granting broad access person by person.
  6. Review external collaborators and integrations after every major campaign.

Make offboarding immediate and complete

Removing an employee from email is not enough. Agencies should revoke sessions, transfer file ownership, remove social media access, rotate shared credentials, disable integrations, recover licensed assets, and confirm that client-specific access has been removed.

Back up irreplaceable client assets

Cloud platforms can still experience deletion, account compromise, synchronization errors, and retention limitations. Important creative files and business records should be protected with a recovery strategy that does not depend entirely on the same application.
