Why CPA Firms Should Stop Sending Sensitive Files by Email

Learn how secure client portals, access controls, and safer document workflows can help CPA firms reduce phishing, data exposure, and tax document fraud.

Email attachments create unnecessary risk

CPA and accounting firms routinely exchange tax returns, payroll records, bank statements, Social Security numbers, and other highly sensitive documents. When those files are sent as ordinary email attachments, the firm loses control over where copies are stored, who can forward them, and how long they remain accessible.

A compromised mailbox can expose years of client documents at once. Attackers may also use an existing email conversation to request additional records, redirect payments, or impersonate a trusted employee.

What a safer client portal should provide

  • Multi-factor authentication for staff and clients.
  • Role-based access so users only see the clients and folders they need.
  • Expiration controls for temporary links and shared files.
  • Activity logging showing uploads, downloads, sharing, and permission changes.
  • Encryption while information is transmitted and stored.
  • Simple offboarding when an employee, seasonal worker, or outside contractor leaves.

Do not assume the portal is automatically secure

A portal only improves security when it is configured correctly. Shared accounts, weak passwords, excessive permissions, and inactive users can undermine the protection the platform is supposed to provide.

A practical transition plan

  1. Identify which documents should never be sent through ordinary email.
  2. Require MFA for every employee with access to client records.
  3. Create a standard folder and permission structure for each client.
  4. Train employees to reject unexpected file-sharing and password-reset requests.
  5. Review user access before tax season and immediately after seasonal staff leave.
  6. Back up cloud-hosted documents separately from the portal itself.

Make secure sharing easier than insecure sharing

Employees will follow the approved process more consistently when it is simple, fast, and clearly documented. A secure portal should reduce confusion for clients while giving the firm better visibility and control over sensitive information.
